What we do:

The Sr. Site Coordinator will be responsible for day-to-day site operations. This person will coordinate and monitor all site operations, including site communications, vendor management, space / utilization management and ensuring site is clean organized and compliant with safety regulations provided by EH&S. This role will interact daily with vendors and employees to maintain and help provide a professional workplace.

What you can do:

  • Employee and supplier relations management through building internal and external partnerships and work collaboratively with others to meet shared objectives
  • Coordinate service contracts for day-to-day building operational functions such as: janitorial, security, maintenance/handyman repairs, AC hot/cold calls, office supplies, coffee/snack program, etc
  • Coordinate vendor management to have master service agreements with each supplier within approved budget
  • Process new vendor set-ups, maintain vendor contact information and insurance
  • Process monthly, quarterly and / or annual purchase orders according to approved budget
  • Process all vendor invoices and reconcile against budget and with Facilities Strategy manager finance team
  • Aid in forecasting budget expenses for existing temp and future buildings
  • Coordinate the onsite food & beverage program, maintaining inventory and processing vendor invoices
  • Coordinate site communications via slack, TEAMS and email distributions lists of site updates and announcements
  • Work closely with the Environmental, Health & Safety team to support company compliance requirements
  • Liaise with building management where and when appropriate
  • Receive and coordinate space requests from R&D engineering teams to assist Facilities Site Manager and design team to build out facilities
  • Coordinate and assist with conference room set-ups for large events
  • Coordinate and assist onsite employee events
  • Complete weekly site walks to ensure space is managed, clean and organized by users and suppliers
  • Coordinate inter-office and project facility moves
  • Assist Site Facility Manager on large construction and renovation projects
  • Ability to execute of special projects as they arise
  • Address recurring and high-level grievances
  • Provide a high level of customer service to all requesters (employees) and vendors
  • Ensure an efficient timekeeping and scheduling system is in place to notify the relevant teams of upcoming site events
  • Other duties as assigned What you can contribute:
    • Bachelor's degree or equivalent
    • A minimum of 5 years of relevant facilities related experience (an equivalent combination of education and experience may be considered)
    • Skilled in Facilities, Property Management and or Construction
    • Experience in space planning, space utilization, and various types of employee related services such as snacks, beverages, lunches, etc.
    • Have working knowledge of EHS and Security
    • Experience in managing onsite vendors
    • Experienced working in EVTOL (preferred but not required) and R&D environment with equipment, high voltage, hazardous chemicals and processes, waste management, etc.
    • Able to work in a fast-paced environment with little supervision
    • Willing to work outside of scope to support teams when necessary
    • This role requires the ability to interact with key partners and all vendors daily, both in and outside of the workplace to ensure building / facility is maintained You may also be able to contribute:
